An exciting opportunity has arisen for an Administrator to join our Civil Engineering Team on a fixed term basis. We are looking for a team player who will assist with the administrative tasks within the department. 

 

Your role

  • Assisting with the administration of duties and movement of labour within Civil Engineering, ensuring all work records are kept up-to-date including items such as overtime, sickness etc.

  • To prepare job sheets for tasks and input data through the approved electronic system. 

  • To arrange maintenance schedules for fixed and mobile plant in accordance with the Manufacturers and Company guidelines. 

  • To produce and provide Management with reports and information on maintenance, financial matters and time planning when required. 

  • Ensure that all administrative matters relating to Health & Safety are maintained including project files, contractors risk assessments and method systems. 

  • To work closely with the Health & Safety Department and Civil Engineering Manager, ensuring the terminal is compliant within Health & Safety legislations by keeping accurate records.

  • Liaising with contractors, suppliers and customers in a professional, efficient and cost effective manner. 

  • Procuring parts, consumable and non-consumable items for Civil Engineering and the terminal as required. 

  • Ensure that all Company policies, procedures and standards are being adhered to.

  • To be responsible and accountable for contractors purchase orders issued in the correct manner and time. 

  • To adopt systems and maintain tractability, financial transparency and auditable processes, and to annually review the PQQ (Pre-Qualifying Questionnaire) and safety policy on the approved contractors list.

  • To use computerised systems as installed by the Company, to prepare any letters or charts, drawings for meetings and presentations as requested by the Civil Engineering manager.

  • To regularly review and seek ways to improve and maintain a high quality service.

 

Your profile                                                                          

  • To have proven administration experience. 

  • Excellent communication and organisation skills.

  • Strong IT skills including MS Office and bespoke systems and databases.

  • The ability to work on won initiative as well as part of a team.

  • The ability to priorities workload and meet deadlines. 

  • Has a high degree of flexibility.
